To filter rows in Google Sheets, select the range, click Data > Create a filter, then click the Filter icon in a header cell and use Filter by values (untick the values to hide) or Filter by condition, and click OK. Filters hide rows; they do not delete them. In a ProfitDrawer bookkeeping spreadsheet, the Income tab's Paid? column holds Yes or No, so filtering it to No shows invoices still owed among up to 1,000 income rows.
Create a filter (computer):
- Select a range, then click Data > Create a filter (or right-click and choose Create a filter).
- Click the Filter icon at the top of a column.
- Pick one:
- Filter by condition: choose a condition or enter a custom formula.
- Filter by values: uncheck values to hide them, then click OK.
- Filter by color: choose a text or fill color.
- Search: type to find values.
Shortcut: right-click a cell and choose Filter by cell value.
Remove it: click Data > Remove filter.
Who sees it: a regular filter is visible to anyone with access to the file, and anyone with edit permission can change it. To keep your own view, use a filter view: click Data > Create filter view, sort and filter, click Save View, then Save. Open it later with Data > Change view. Only one view can be applied at a time.
If you only have view access, you can still create a temporary filter view that only you see and that is not saved.
In ProfitDrawer workbooks the column titles sit in row 7 of the Income, Expenses and Mileage tabs, so start the filter range at that row.
